I. PURPOSE

1. To popularize and promote running as the simplest form of recreation.

2. To promote the city of Szczecin.

II. ORGANIZER

1. The organizer of the Virtual 46th PKO Szczecin Half Marathon (hereinafter referred to as the Event) is Stowarzyszenie K2 Partners and the City of Szczecin.

2. The Strategic Partner of the Event is the City of Szczecin, and the Title Sponsor is Powszechna Kasa Oszczędności Bank Polski (PKO Bank Polski).

III. DATE AND LOCATION

1. Participants can complete the chosen distance between September 1 and 14, 2025, at any location and time.

2. The race distance is 21 km and 100 meters.

3. Participants may complete the half-marathon distance in two ways:

  • by running a single stretch of 21.1 km,
  • or in up to four segments, whose total equals 21.1 km. Each segment must be completed between September 1 and 14, 2025.

4. Participants can complete the distance at any location and time.

5. Participants are required to comply with Road Traffic Regulations and follow the rules of movement applicable to the chosen route.

IV. PARTICIPATION AND TIME MEASUREMENT

1. Participation in the Virtual 46th PKO Szczecin Half Marathon is open to adults, i.e., those who turn 18 by the day of their run. Minors, aged 14 and older on the day of the run, are allowed to participate only if the distance is completed in two, three, or four segments. Parental or legal guardian consent is required for minors.

2. Registration for the event requires filling out the online registration form available on halfmarathon.szczecin.pl under the Virtual Race section and paying the entry fee.

3. Participants with disabilities may participate using active wheelchairs with direct drive.

4. Time measurement of the completed distance must be submitted in the form of a screenshot. Each participant must upload this screenshot to the B4Sport platform – www.b4sportonline.pl. Screenshots can be taken from a watch or any other application confirming the kilometers covered, along with the time and date. Uploaded segments will be verified and approved by the organizer and added to the results.

5. Participants who have registered and paid the entry fee cannot withdraw from the race or transfer the fee to another calendar year or event.

V. RULES

1. Participants must cover a total distance of 21 km and 100 meters.

2. Results or completed segments of the Virtual 46th PKO Szczecin Half Marathon must be submitted as screenshots by logging into the participant panel on B4Sport. Results will be verified and approved on an ongoing basis.

VI. REGISTRATION AND FEES

1. Registration for the Virtual 46th PKO Szczecin Half Marathon is conducted through the registration form available on halfmarathon.szczecin.pl under the Virtual Race section, with a deadline of August 18, 2025.

2. Registration is considered complete when the participant fills out the form correctly, and the entry fee is credited to the organizer’s account as specified in these Terms and Conditions.

3. Completing the registration form and paying the entry fee constitutes acceptance of these Terms and Conditions.

4. After registration and payment of the entry fee, participants will receive a personalized start number in a PDF file available for download in the participant panel on the B4Sport platform. The number can be printed and attached to a shirt during the run, but this is not mandatory.

5. The organizer has set the following entry fees for participation in the Virtual 46th PKO Szczecin Half Marathon. The fees vary depending on the selected Finisher Package:

6. As part of the chosen entry fee, the Participant is entitled to receive a finisher package depending on their selection:

Option 1: Basic Finisher Package:

  • race number,
  • commemorative medal,
  • delivery via InPost courier with the option to redirect to a selected parcel locker.

Option 2: Extended Finisher Package:

  • race number,
  • commemorative medal,
  • delivery via InPost courier with the option to redirect to a selected parcel locker,
  • t-shirt.

7. The package with a t-shirt is available until July 30, 2025.

8. Participants who wish to have an additional engraving on the medal (name, surname, time) should select this option during registration on the B4Sport panel. The cost of the additional engraving is 25.00 PLN.

8. Finisher packages will be sent via InPost courier to the address provided in the registration form starting from October 16 of the current year. The shipping fee for finisher packages outside Poland is 50 PLN. Costs of repeated delivery or returns due to incorrect address or non-receipt will be borne by the Participant.

9. Entry fees can only be paid online during race registration. (Participants unable to pay online are requested to contact us by email at kontakt@halfmarathon.szczecin.pl)

10. Participants wishing to receive an invoice for the entry fee must send this request to kontakt@halfmarathon.szczecin.pl along with billing details. The invoice will be issued and sent within two weeks from the date the payment is recorded in the Organizer’s account.

11. In case of a Participant’s withdrawal from the Event or withdrawal of consent for data processing, the paid entry fee is non-refundable and cannot be transferred to an Event in the following year.

12. The entry fee is non-refundable and non-transferable to other events in the event of Participant withdrawal or revocation of data processing consent.

13. The entry fee is a participation fee for the Event and is used to cover the organizational costs of the Event.

VII. DATA PROTECTION

1. The data controller is the Organizer (Stowarzyszenie K2 Partners, ul. Spółdzielców 19c/1, 72-006 Mierzyn, info@k2partners.org.pl).

2. Personal data of Participants will be processed for the purposes of:

  • concluding and performing the agreement, i.e., organizing and conducting the Event (legal basis: Article 6(1)(b) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR));
  • pursuing any claims (legal basis: Article 6(1)(b) and (f) GDPR within the legitimate interest of the Controller);
  • fulfilling legal obligations, e.g., issuing invoices (legal basis: Article 6(1)(c) GDPR);
  • informational, administrative, analytical, and statistical purposes (legal basis: Article 6(1)(a) and (f) GDPR within the legitimate interest of the Controller);
  • publishing Event results (legal basis: Article 6(1)(a) GDPR);
  • promotional and marketing purposes (legal basis: Article 6(1)(a) and (f) GDPR within the legitimate interest of the Controller).

3. Personal data of Participants may be shared with the following categories of recipients:

  • entities to whom the data must be disclosed under the law;
  • the Organizer, i.e., Stowarzyszenie K2 Partners, ul. Spółdzielców 19c/1, 72-006 Mierzyn;
  • entities cooperating with the Controller to organize the Event, particularly entities facilitating registration, providing time measurement services,
  • other entities cooperating with the Controller for legal purposes (e.g., insurers, IT service providers, legal or marketing services).

4. The Controller processes the following data: identification data (name, surname, date of birth, address, VAT number), contact data (phone number, email, residential address), billing data (bank account number), club name, image.

5. Personal data will be stored by the Controller for 10 years or until claims become time-barred, and until documents are no longer needed for accounting or tax purposes. After the expiration of these periods, Participant data will be deleted or anonymized.

6. Participants have the right to request access to their personal data, rectification, deletion, or restriction of processing. They may also object to processing or request data portability. In case of any data protection violations by the Controller, Participants may lodge a complaint with a supervisory authority.

7. Providing personal data is voluntary but necessary to participate in the Virtual 46th PKO Szczecin Half Marathon.

8. Consent for processing data to publish Event results and image processing is voluntary. Refusal to consent will prevent result or image publication. Consent can be withdrawn at any time without affecting the lawfulness of prior processing based on the consent before withdrawal.

9. Personal data will not be transferred to third countries.

 

VIII. FINAL PROVISIONS

1. All Participants of the Virtual 46th PKO Szczecin Half Marathon are subject to these Terms and Conditions.

2. The Organizer provides medical care at the start, on the route, and at the finish of the Event.

3. The Organizer reserves the right to conduct interviews with Participants, take photographs, and record videos for advertising, promotional purposes, online use, or in radio and television broadcasts, as well as for other commercial purposes.

4. The Organizer reserves the right to use, free of charge, any photographs, video materials, interviews, and audio recordings featuring the Participants of the race worldwide. These materials may be used by the Organizer through placement on media such as CD-ROMs, DVDs, in catalogs and the press, on websites, exhibitions, and for promotional and advertising purposes related to the Organizer’s activities.

5. The Participant agrees that their image may be used and disseminated by the Organizer for promotional and advertising purposes.

6. Dissemination includes, but is not limited to, the placement of the Participant’s image:

  • on websites,
  • on social media profiles (e.g., Facebook),
  • on YouTube channels,
  • in direct email marketing to customers,
  • in public relations materials,
  • in other mass media, especially radio and television.

7. The Participant confirms that they are participating at their own risk and accepts the associated risks, acknowledging that participation in the Virtual 46th PKO Szczecin Half Marathon involves physical effort and carries natural risks and hazards, including accidents, physical injuries (including death), and property damage or loss.

8. Completing the registration form and paying the entry fee signifies that the Participant has assessed the nature, scope, and degree of risk associated with participating in the Virtual 46th PKO Szczecin Half Marathon and has voluntarily decided to take on this risk, participating solely at their own responsibility.

9. Written protests regarding the organization of the Virtual 46th PKO Szczecin Half Marathon must be submitted to the Race Office via email at kontakt@halfmarathon.szczecin.pl within 3 days of the race’s conclusion. Protests will be resolved by the Race Director, whose decisions are final.

10. Any matters not covered by these Terms and Conditions will be resolved by the Organizer. If any provision of the Terms and Conditions is deemed partially or wholly invalid or unenforceable, all other provisions will remain in full effect. The interpretation of these Terms and Conditions lies solely with the Organizer of the Virtual 46th PKO Szczecin Half Marathon.
